How To Properly Shuttle 500 People By Bus For Your Event!

This is can be a nightmare for even the most skilled event coordinator! Having to move a large number of guests for a major event has way too many moving parts for any one person to handle alone. Here is our free guide on the most efficient manner of how to utilize charter buses to help you breathe at ease. These are in no particular order and if your event may not need all of them.


· Have A Good Estimate of How Many People You Need To Shuttle


This element is crucial because it determines two major things, what size buses you need and how many of them you’re going to use. If you have a relatively small group, you can manage the service with a mini bus rental that shuttles the guests back and forth at the beginning of the service and at the end (given the locations are close enough). However, if you have a few hundred people you will need to book a multiple 50 passenger charter buses.




· Know The Destination(s) That Your Group Will Be Traveling To/From


This sounds like a given, however, you need to know this because if the locations are too far apart, it will throw off the logistics of your service. You don’t want a group of angry guests waiting forever for a bus to arrive. If the locations are too far apart, this is exactly what will happen. A way to mitigate this is to order more buses than you normally would so that there is always a bus at each spot.




· Get Time Frames of How Long You Will Need Each Bus


Know the times of your event to estimate when the waves of guests will arrive, then communicate that information with the drivers that will be on site.




· Have A Route & Schedule


Having a route is an absolute must and a guarantee for this time of bus work. However, having a schedule for your bus to show up can work in your favor or against you. Allow us to explain, bus #1 leaves at 10:00am and only 4 people board the bus and it departs. Then 30 people show up a few minutes later and the next bus (that seats 24) won’t be back until 10:30am so it creates a staggering situation.
